Users: Scenario 1

Scenarios are free-form exercises that are designed to be practiced as if you were the system administrator responsible for an implementation.  Try to solve the scenario in your practice org (see Getting Started – Free if you do not have a practice org).  Once solved, or if you need help, turn the page for the solution.

Note: This scenario makes the assumption that you have already created a test user in your org.  See Exercise: Create a New User if you have not.

Scenario:

James is having difficulty creating a lead record in Salesforce.  You would like to login as James to troubleshoot the issue, and validate that there is nothing systematically preventing him from creating a lead (in a real-world scenario you might validate there are no technical problems first, then follow up with training or instruction as needed).

Success Criteria:

  1. As a system administrator, you have logged in as James Smith without using his password, and have created a lead record.  The lead record must show James Smith as the record creator.

    Hi John,
    I’m following your scenario, but I was wondering if the issue that Jsmith has to create leads is hypothetical, cause I log in with James Smith and I can create leads.
    So I don’t know if my role should have something special like.
    If the issue is hypothetical to learn about how I need login as a user I’ll ignore that it is working for him.

    I only have a Salesforce Platform user license available in my dev org. I have the only Salesforce license assigned to myself as the Amin. Not having James Smith assigned to a Salesforce license, will this cause problems as I continue with Certified On Demand training? I do understand how to log in as a user and test functionality as the user, so if this will not affect the other modules, I will not change my license.

      Did you create another user in the system before James? If so deactivate them. A DE org should come with 2 Salesforce licenses.

    I had no trouble to signup my DE and create a new user. But I was confused what is a LEAD? thank you.

    Login to Salesforce (using the email generated from the previous exercise) as James Smith.
    Setup –> My Personal Information –> Grant Login Access –> Your Company’s Administrator: One Year –> Save.
    Click Your Name –> Logout

    Sorry I can create only two users. One myself and another user. I tried from both the logins couldn’t find the “My Personal Information”.

      Instructions within this guide make the assumption that the Improved Setup User Interface is disabled.

      I suggest you double-check your org settings by navigating to Setup –> Customize –> User Interface; ensure “Enable Improved Setup User Interface” is not checked.

      If you enable this feature, step-by-step instructions within scenarios and exercises will not line up correctly (as the setup navigation menus will be different).

    Hi John,
    I have a question related to My Settings in the User Name drop-down list above in SF.
    As I have disabled the feature “Improved Setup User Interface” I do not see this in the drop-down list anymore. Where can I change my personal settings as a user? Thanks a lot.

    Hi,

    Sorry but I am confused with this scenario. Are we required to just login as James and create the lead. I thought the user had difficulty creating leads, so I had in mind to check him profile settings and see if he has the permission to create leads or not.
    the solution however doesn’t say that?

    Some clarification here would help.

      The idea here is that the user is reporting one thing (they can’t create a lead) and you as the system administrator need to validate if this is a permissions issue or a training issue (they don’t know how to create a lead).

    So I have ‘Administrators Can Log in as Any User’ enabled and was able to get through the scenario, but I was wandering how to go about allowing the user to manually allow access for an administrator? I read through a couple of articles and was thinking it was because of the ‘Standard User’ license that James Smith is set up with. Can you confirm or explain how to do it?

    I am unable to login as James Smith the “Admin Can Log In as Any User” feature does not seem to be activated for my Developer Sandbox.

    I can not see the “Lead” menu item under “Create New…” when I log into as Administrator and further login as James Smith. I neither see the tab called Lead. Can you please advice?

      You probably need to chance your app to Sales (top right drop down) – or check your profile if you are not a system admin.
